The short answer, yes.
A virtual office address can serve as your company’s registered office, provided the address is a real, staffed location and the provider has given you permission to use it. What you cannot do is pick an address you have no connection to, or use a PO Box.
Companies House tightened the rules on this in March 2024, and the change has made the choice of provider a far more important matter than it used to be. If you are weighing up whether a virtual office solves your registered address problem, here is what actually applies.
What A Registered Office Is & What It Is Not
Every company incorporated in the UK must have a registered office. It’s the official address on Companies House records and the address where statutory mail is served, including anything from Companies House itself, HMRC correspondence in some cases, and legal documents.
It’s a matter of public record. Anyone can look it up on the Companies House register in a few seconds, free of charge, and historical addresses stay visible on the filing history long after you have moved on. That last point catches a lot of founders out.
It’s important to note that a registered office is not the same as your trading address, and it does not have to be where you actually work. A consultancy operating from a client site, a distributed team with no fixed premises, an ecommerce business run from a spare room – all of them still need a registered office, and none of them needs it to be the place they sit down each morning.
The Rule That Changed in 2024
Since 4 March 2024, a registered office must be an address that the legislation calls an appropriate address. In practice, that means two things.
- Documents delivered there must come to the attention of someone acting on the company’s behalf.
- Delivery must be capable of being recorded by an acknowledgement of receipt.
The immediate effect was that PO Boxes no longer qualified.
A box in a sorting office cannot acknowledge receipt of anything, and nobody is there to bring a document to your attention. The wider effect, and the one that matters when you are comparing providers, is that a mail drop with no staff on site does not meet the test either.
A staffed reception does. That is the whole point of the dedicated local reception team included with every Rombourne virtual office plan. Someone is physically there, signing for post, logging it, and letting you know it has arrived. The address stands up to the appropriate address test because there is a person behind it.
If Companies House decides an address is not appropriate, it has the power to move a company’s registered office to a default address and give the company 28 days to supply a proper one. Companies that do not respond risk being struck off. It is not a rule anyone should be casual about.

Permission Is Not Optional
You need the address owner’s consent, in writing, to use their address as your registered office. Filing an address you have no agreement to use is a straightforward compliance problem, and it’s one that surfaces the moment a piece of legal post arrives at a building where nobody has heard of your company.
This is why the right to use the address as a registered office is written into our plans rather than left implied. Both the Professional Business Address plan and the combined Business Address and Telephone Answering plan include the use of a registered address as standard. The Telephone Answering plan does not, because it provides a phone number and a reception service rather than an address, so it is worth being clear which one you actually need.
Getting The Jurisdiction Right
This is the part most guides skip. Your registered office must be in the same part of the UK where the company is registered. A company registered in England and Wales can use an address in either country. A company registered specifically in Wales must use a Welsh address, and cannot use one in England.
It’s worth checking your incorporation details before you commit, as they determine which of our centres will work for you.
For most businesses, the practical question is less about jurisdiction and more about where you want to be seen to be based. A Bristol address reads differently to a client than a Swindon one, and a Cardiff address carries weight across South Wales that a home postcode in a commuter village does not. Choose the one that matches how you want the business to be perceived.
What A Registered Office Address Will Not Cover
Three things sit outside it, and knowing that up front saves confusion later.
1. Your Director’s Service Address
Every director must supply a service address separately, and this is also published on the public register. Most people using a virtual office list the same address for both, which keeps their home address entirely off the public record. Your residential address is still filed with Companies House, but it’s simply not published.
2. Statutory Registers
Your registers of members, directors and charges are your responsibility. A virtual office provider does not hold them for you. You can keep them wherever is practical and, if that is somewhere other than your registered office, nominate a Single Alternative Inspection Location with Companies House.
3. Your Trading Address
If you have premises where you actually meet clients or store stock, that remains your trading address. The two can be different and often are. Plenty of our virtual office clients also book meeting and board rooms at the same centre when they need somewhere to sit down with a client, which gives them a consistent address across everything.
What It Costs
As an example, at 160 Aztec West, the Professional Business Address plan is £35 per month or £350 per year. It covers the address itself, registered address use, mail collection and forwarding options, the local reception team, use of our fully serviced meeting and board rooms with free Wi-Fi, marketing images of the building and a listing on our website.
If you want a local phone number answered in your company name alongside the address, the combined plan is £85 per month or £850 per year, and it adds message taking, call diverting, a 24-hour voicemail service and a 30% discount on meeting and boardroom hire.
Plans and pricing vary by centre, so check the page for the location you are interested in for current terms.
Changing Your Registered Office
To change your registered address, you’ll need to file form AD01 with Companies House, online, free of charge, and the change takes effect once it’s registered. You will then want to update HMRC, your bank, your accountant, and your insurers separately, because none of them will find out automatically.
It’s worth noting that the previous address remains in your filing history permanently. If your reason for moving is to get your home address off the public record, moving now will stop further exposure but will not erase what has already been published.
Choosing Your Address
Rombourne has been providing workspace since 1973, and our virtual office clients get the same staffed centres, reception teams, and meeting rooms as businesses taking full offices with us. The address is a real building with real people in it, which is precisely what the registered office rules now require.
Have a look at the plans for Bristol, Cardiff, Newport and Swindon, or call the centre you are interested in and ask. The set-up takes very little time, and the commitment starts from one month.
